Access to the HVD Group Atlassian products is pre-approved for members of the HVD Group Product or Development teams.
New members can be added on-demand, by sending an email request to the HVD Group Atlassian administrator: atlassian.admin@hvdgroupcom.atlassian.net
Use the following format:
- Email title: Atlassian access request
- Email body:
Atlassian access required for the following individuals:
<insert list of users, first name, last name and email address>

For each member, specify to which of the below listed Atlassian products access is required and what type of access:
- Jira Software: specify the projects in scope
- Jira Confluence: specify the spaces in scope
- Jira Service Management: applicable for Technical Services staff or Product Managers
- Jira Product Discovery: specify the project in scope
1 Request review and approval
- Requests are reviewed every week, during Friday and are usually processed within 5 business days after review.
- Request for members of the HVD Group Product and Development teams are pre-approved.
- Members not part of the HVD Group Product and Development teams can still register request for access, but a valid business reason is required to be provided in the access email body and are subject to approval.
- In case of rejection, the motive will be documented through the access request ticket.
Access revocation
Access is revoked in the following scenarios:
- Prolonged inactivity period: users not logging in for more than 3 months will have the access automatically suspended.
- User is no longer part of the company, automatically looses access to the authentication (SSO-enabled) and is automatically disabled after 3 months due to inactivity
- On-demand access revocation request for users that no longer contribute to active projects
- User suspect of being part of a security breach
- Bi-yearly, access audits are performed, unauthorized users will be suspended
Regular access review
- Access requests are reviewed weekly, every Friday and are processed within 5 business days after review.
- Every 3 months, the system automatically checks for inactive users(not logged in for more than 60 days) and automatically suspends access.
- Every 6 months, the Atlassian admin performs an Atlassian access audit and suspends unauthorized access.
Incident management- Report any potential Atlassian issue or security breach or question to: atlassian.admin@hvdgroupcom.atlassian.net
- In case of potential security breach, add the label “Security” at the start of the email title. These issues are addressed immediately.
- Any other issues or questions are addressed within 20 business days since requests are created.
FeedbackThe HVD Group Atlassian tools are subject to constant improvement, with changes being implemented on a monthly basis, usually during the last weekend of the month.
